Office Administrative Assistant

Wilks Communications is seeking an administrative assistant to join our team of professionals.  The assistant will perform a variety of highly responsible and confidential duties that are essential to the internal operations of the office.  This is a part-time position (30 hours per week) with the potential of becoming full-time.

Responsibilities include:

  • Answering phones – represent the company and its clients with professional greeting, thorough message taking, and forwarding of calls to the appropriate person.  Screen calls as appropriate.
  • Monitoring general email – direct to appropriate account manager.
  • Reports – create weekly, monthly, quarterly and annual reports for clients by inputting activities, media placements and other information as directed.
  • Database – update media contact database on a timely basis.
  • Media list development – generate media lists for Account Managers using Cision, Leadership Directories, and online media list services.
  • List management and distribution – manage electronic list services such as Benchmark.
  • Research – assist Account Managers with research projects as needed.
  • Office supplies – maintain office supplies inventory.
  • General – general office assistance such as file and record maintenance. Support Account Managers as needed.  Project assignments will be coordinated with and through immediate supervisor.
  • Reporting – position reports to Office Manager/Account Manager

Requirements

We are looking for a well-rounded individual who encompasses the following:

  • Computer proficiency with experience using Microsoft Word, Excel, Outlook and PowerPoint.
  • General bookkeeping skills. QuickBooks knowledge preferred.
  • Willingness and ability to learn new software and database management systems.
  • Pleasant, hard working, detail oriented, flexible, excellent communication and organizational skills.
  • Must be a self-starter, able to work in a team environment and able to manage multiple tasks with different priorities.

30 hours per week (with ability to move to full time)
90 day trial period

Public Relations Internship

Wilks Communications is seeking a student to join our team of professionals. The intern will be able to contribute to client work and hone his/her public relations skills. Internships can be full-time or part-time paid seasonal internship position that is flexible to the student's schedule.

Responsibilities include:

  • Press release writing
  • Media list development
  • Social media coordination
  • Updating reports
  • Media calls
  • Strategy development with supervision
  • Other projects as assigned

Requirements

We are looking for a well-rounded individual who encompasses the following:

  • Strong news writing
  • Ability to generate news concepts
  • Basic PR background and understanding
  • Social media marketing experience including Facebook, Twitter and WordPress
  • Willingness to pitch media
  • Proficiency in Microsoft Office programs
  • Working knowledge of Cision is a plus
  • Team player
  • Attention to detail and organization
